This policy explains what StayQode collects from hosts and guests, why we use it, who receives it and the choices available to you.

Who is responsible
StayQode LLC provides the StayQode platform. Depending on the activity, StayQode and the accommodation host may each act as a data controller. Questions can be sent to [email protected].
Information we collect
- Host account, workspace, property, billing and support information.
- Reservation details received from connected property-management systems, including guest contact information, stay dates and language where supplied.
- Guest information submitted through a portal. When a guest chooses to save details, this may include first name, last name and email, plus an optional nationality and phone number.
- Separate choices for email marketing, phone, SMS or WhatsApp marketing, and identifiable portal analytics.
- Basic non-identifying page-view and partner-link totals, plus technical records needed for security and reliable delivery.
Why we use it
We process information to provide contracted services, secure the platform, deliver stay communications, process purchases and payouts, respond to requests, meet legal duties and improve the service. Where consent is the appropriate basis, it can be withdrawn.
Guest choices and marketing
Guests may always open the property guide without submitting the guest details form or selecting a marketing or analytics checkbox. Each optional checkbox is off by default and records a separate choice. Declining identifiable analytics does not stop StayQode from counting basic page and partner-link totals without attaching them to the guest’s identity.
Country-specific wording and safeguards are displayed according to the guest’s selected or detected country. Email double opt-in applies where required, including Germany and Canada. Guests in mainland China see a separate cross-border transfer request before submitting personal information. Phone, SMS and WhatsApp marketing is disabled by default for guests in the United States.
Campaign reporting
StayQode does not give Campaign Clients raw guest names, email addresses or phone numbers. Campaign Clients receive aggregated, non-identifying results such as total opens and clicks. Providers that help deliver a campaign process information only for the contracted service unless a guest is told otherwise.
Service providers and international transfers
We use specialist providers for hosting, property-management integration, payments, email, video, printing and WhatsApp delivery. They receive only the information needed for their role and are governed by contractual and security requirements. Cross-border transfers use an appropriate legal safeguard where required.
Retention and security
We retain information only for as long as needed for the purposes above, contractual obligations, dispute handling and legal recordkeeping. We use access controls, tenant separation, encrypted transport, audit records and backups to protect platform data.
Your rights
Depending on your location, you may withdraw consent or request access, correction, deletion, restriction, portability or objection, and may complain to your supervisory authority. California residents may also ask whether personal information is sold or shared. StayQode does not sell raw guest data. See our data deletion instructions or email [email protected].
